There is no designated Data Protection Officer (DPO). The contact email admin@relixtrading.com serves as the sole point of contact for all data protection inquiries and requests.

Data Protection and Security

We comply with the EU General Data Protection Regulation (GDPR) (Regulation 2016/679) and applicable Dutch data protection laws (Algemene verordening gegevensbescherming - AVG). We have implemented strict technical and organizational security measures to protect your personal data against unauthorized access, loss, or misuse. Our systems are regularly updated to ensure availability, integrity, and confidentiality.

What Personal Data We Process

Depending on your interaction with us, we may process the following data:

  • Identification and contact details: Name, address, phone, and email submitted via our contact forms.
  • Contract-related data: Operational details for orders, service provision, and supplier/customer representative management.
  • Data for accounting: Invoices, billing history, and legal financial obligations.
  • Website usage data: Technical server logs, including IP addresses.
  • Job applicant data: CVs, cover letters, and professional history submitted during recruitment.

Note: Our website is purely informational. Users cannot create a personal account or profile on this site.

Purpose and Legal Basis of Processing

We process personal data to fulfill contracts, comply with legal obligations, or pursue legitimate business interests (such as IT security).

To ensure full compliance with GDPR Article 13, we map our processing activities to these specific legal bases:

  • Contact Forms: Processed under Legitimate Interest (GDPR Art. 6(1)(f)) to efficiently answer your business inquiries.
  • Order Processing: Processed under Performance of a Contract (GDPR Art. 6(1)(b)) to manage transactions and deliver services.
  • Financial Data: Processed under Legal Obligation (GDPR Art. 6(1)(c)) to comply with Dutch corporate tax reporting rules.
  • Job Applications: Processed based on Consent and pre-contractual steps (GDPR Art. 6(1)(a) & (b)).

We do not use your data for automated decision-making or profiling. We do not send marketing newsletters to our visitors or customers.

Data Processors and Transfers Outside the EU

We utilize trusted third-party service providers to run our business operations. These providers act as data processors under strict confidentiality terms:

  • Website Hosting: Our website is hosted by Hostinger, with all database servers physically located inside the EU/EEA.
  • Email Communication: Our company email infrastructure is operated securely through Microsoft Outlook.
  • Internal Data Management: We use a secure, internal offline application to process and store operational data locally.

Cookies

Our website does not use cookies or analytics tools. The only thing stored in your browser is the language you choose, and only after you select one. This is a functional setting and is never shared.

  • Technical Server Logs: Technical website server logs are securely stored and retained for 90 days before deletion.

Data Retention Periods

Your personal data will only be stored for the period necessary to fulfill the purpose of processing:

  • Customer and Contract Data: Retained for 2 years after the termination of the business relationship.
  • Financial & Ledger Data: Retained for 7 years following the transaction year, strictly to fulfill mandatory statutory requirements under the Dutch State Taxes Act (Algemene wet inzake rijksbelastingen).
  • Website Server Logs: Retained for 90 days.
  • Job Applicant Data: If an applicant is not hired, their CV and data are deleted within 4 weeks after the recruitment process ends. However, if the applicant provides explicit consent, we will retain their CV for up to 1 year to contact them about future job openings.

Your Rights

You have the right to:

  • Withdraw consent at any time without affecting the lawfulness of prior processing.
  • Access your personal data and receive copies.
  • Request correction or completion of inaccurate or incomplete data.
  • Request deletion of data when no longer necessary, subject to our overriding tax and legal ledger obligations.
  • Restrict the processing of your data in certain cases.
  • Request portability of data provided by you.
  • Object to processing based on legitimate interests.
